Approve, renew or reject access requests by email

It is possible to approve, renew or deny access to individuals via e-mail. In some cases, it may be convenient for a manager or a system administrator to be able to approve, renew or deny an access request while on the go.

Therefore, Compliance Suite allows you to approve or reject accesses by replying to mail notifications using specific approval or rejection words.

When the approver receives the mail notification, he or she simply needs to reply to the email by writing:

  • "Approve" as the first word in the email text if the access request is to be approved.

  • "Reject" as the first word in the email text if the access request is to be rejected.

The reply email may contain more text, but the approval or rejection word must appear first in the email, otherwise Compliance Suite will not be able to detect it.

It is possible to select approval or rejection words. This is decided during the installation of Compliance Suite.

Configuration

  • Acceptable words are set up by an administrator (the words may not be case-sensitive). Approval words may include, among others: approve, approved, okay. Rejection words many include, among others: Reject, Rejected, No…​

  • A user ID must be specified for a "Compliance Suite Replies" function mailbox.

  • ServiceAccount must have access to read the feature mailbox.
