Send files
First-time user
When using Cryptshare for the first time, you will need to enter your contact details and verify your email.
Verify your email via a verification code
When using Cryptshare, a connection to your mailbox is established for this add-in to work. The authenticity of the email address is checked. Verification is necessary after 30 days, when cache has been cleared, or when the email address changes.
-
Having received the code via email, copy it, go to Verification and paste the code.
-
Click Next.
Add files and confidential message
With Cryptshare you have the choice of shipping files securely, or transferring a message encrypted. Follow these steps:
-
Click New email in the Outlook main window to create a new message.
-
In the email, click the Cryptshare icon:

This will activate the Send with Cryptshare plugin. Should you already have begun composing the email message, you continue working with the message as a Cryptshare-mail.
-
Enter the recipient’s email address in the email. Separate several recipients with a comma or a space.
-
Enter your subject and confidential message in the email. The content of your message is converted into a file in .eml-format.
-
Add files: By clicking Browse files, an Explorer-window opens, and you may browse your PC for files and add them. Files which have already been attached at this point will move over into the Cryptshare attachment manager sidebar. Using the sidebar you can attach additional files to the message. These can be larger than the size limit for regular emails via Outlook. In Notification options you can choose if the filenames should be exposed or not.
-
Click Next to move on to the Transfer options, or click the Transfer options tab directly.
Transfer options
The transfer options consist of:
-
-
Type of message
-
Password mode
-
-
-
Expiration date
-
Language
-
Security settings
Encrypted confidential message
When sending via Cryptshare as a confidential message, the subject and message body will be encrypted and hidden, replaced with the neutral: Confidential Message.eml
Notification message
A Notification message will look just like a regular email, with a visible subject and a visible text message.
If a file is being added, the file will be sent with Cryptshare, with the possibility to use the password options.
In Notification options you can choose if the filenames should be exposed or not; Expose file names in notification emails.
Note that the message and subject will be visible for the sender and recipient, if sending as a Notification message, even if the file names are set to be hidden.
Password mode

To secure your transfer, you can choose from several password options:
-
You can have the system to Generate a secure password for you. Write down or save this password, it will not be stored anywhere. Click the copy password icon to easily retrieve the one-time password:

-
Or, Enter a password of your choice. Select level of strength to be applied.
-
The option Don’t set a password enables the sender and the recipient to exchange large files easily, without having to exchange passwords. The data is transferred fully encrypted. However, the level of security is lower, since anyone gaining access to the notification email, has access to the files.
| Share your password with the recipient via telephone or SMS, otherwise they will not have access to the documents or message. |
Additional settings
Set the expiration date to determine for how long the file should be available for retrieval, and the language in which the recipient will receive the notification.
Expiration date
Sent files are only stored on the Cryptshare Server for a certain period of time, during which they can be downloaded by the recipient. After this retention period, the files are automatically deleted from the server, no matter whether they have been downloaded or not.
The recipient is automatically informed about the selected retention period.
Notification options

The notification options are:
-
Send me a notification email about this upload: The sender will receive a notification, an email confirming that the transfer has reached the recipient.
-
Inform me as soon as a file has been retrieved: Choose if you want to be notified about the retrieval of the transfer. Please note that this will result in an email sent to you, as a sender, for every download action on the recipient’s end: "The download of one or more files was started".
If you prefer fewer notification emails, or if you would like to view more detailed information about the transfer, use the Transfer status feature instead. -
Expose filenames in notification emails: Decide whether the name of the files should be exposed in the notification email at the recipient, as well as at the sender.
-
Show content of zip files: Decide whether the name of the zip files should be exposed in the notification email at the recipient, as well as at the sender.
| The download notification that will be sent via email to the recipient still has the neutral subject "Confidential Message". |
The transfer
Start the transfer by clicking Send with Cryptshare.

Your files are transmitted securely to the Cryptshare Server and are stored there encrypted. The progress of the uploading process is displayed, until Successfully finished.
Transfer status

The transfer status is available with live status information for the sender to see. Open the Cryptshare add-in on any transfer related email, and Cryptshare shows relevant live information about that transfer.
The following information is available:
-
